Airport coach transfers for groups arriving from China

Groups arriving from China should plan a coach pickup well after landing, because passport control, baggage and customs take time, and Chinese visitors on 10-year visas need a current EVUS enrollment. Vehicle size depends on group size and luggage, and airport rules differ by city.

What happens after landing

At Chicago O'Hare, international arrivals go through immigration inspection by Customs and Border Protection, then baggage claim and agriculture screening; other airports follow a similar sequence. Chicago O'Hare says that factors beyond the traveler's control affect the length of the process but that it is rare for it to take more than two hours.

For a group, the practical meaning is that the coach should not be scheduled at the flight's arrival time. Operators generally ask for the flight number so they can track the actual landing time and set pickup after the group has cleared inspection and gathered at the curb.

Visas and EVUS for Chinese passport holders

Customs and Border Protection says nationals of the People's Republic of China who hold 10-year B1/B2, B1 or B2 visas must keep a current Electronic Visa Update System enrollment. An enrollment lasts two years or until the traveler gets a new passport, whichever comes first, and a traveler without a current enrollment cannot use the 10-year visa for entry.

This is the traveler's responsibility, but organizers who manage a group list can check it beforehand because one member who cannot board delays group planning. Neither the directory nor a coach operator handles visas.

Where visitors from China land

National Travel and Tourism Office data show China was the third-largest source of overseas package-tour visitors in 2024 (about 274,000), and among package travelers the largest entry shares were New York at 19 percent, Los Angeles at 12 percent and San Francisco at 8 percent. A 2018 analysis reported by Dragon Trail found that only 17 to 18 percent of Chinese visitors entered through JFK or Newark, and 37.9 percent of Chinese travelers used domestic flights in the US, compared with 26 percent of international visitors overall. Many groups therefore connect between cities by air and need coaches on the ground in the second or third city.

Los Angeles airport rules

Los Angeles World Airports runs a Ground Transportation Permit Program that licenses more than 2,500 private companies, including charter buses. Charter operators at LAX must hold the Transportation Charter Party permit and follow the LAX Ground Transportation Rules and Regulations. Groups should ask whether the operator holds the permit for the airport they are arriving at.

Choosing the vehicle

Minibuses carry up to roughly 30 passengers and motorcoaches up to roughly 60, with motorcoaches having under-floor luggage bays and minibuses relying on overhead and rear storage. Dragon Trail's research describes family travel that often involves three generations. A group of 20 with full suitcases may need a larger vehicle than seat count suggests, so luggage should be listed in the quote request.

Peak periods

China's seven-day National Day holiday starts October 1 each year and the Spring Festival holiday runs about a week or more, according to the official 2026 schedule. These are among the longer holiday windows for Chinese travelers, so airport and coach demand can concentrate around them; it is sensible to request quotes early for those weeks. Specific coach availability depends on each operator.

The first day after a long-haul flight

Groups arriving from China often land after many hours in the air, so the first coach ride is usually short and goes straight to a hotel. Federal rules require a driver to have 8 consecutive hours off duty before a new 10-hour driving period begins, and the 15-hour on-duty window runs from the start of the shift, not from the group's arrival. A driver who waits at the airport through a delayed flight is on duty during that wait.

This matters when a flight is delayed several hours: the operator may need a different driver for the transfer, or may re-time the next morning's departure. Groups should ask in advance what the operator does if a flight is late, and whether waiting time is charged. Planning the first day with a nearby hotel and a late start gives room for those delays.

What to include in a quote request

Arrival airport and flight number, number of travelers and bags, whether children or travelers needing assistance are in the group, destination hotels in order, trip dates and any needed overnight, and whether a Mandarin or Cantonese-speaking driver or guide is wanted. The booking line works in English, so adding an English-speaking contact for the group helps.

Questions groups ask

How long should a coach wait after a flight lands?

O'Hare says it is rare for passport control and customs to take over two hours; operators typically track the flight and time the pickup accordingly.

What is EVUS?

An online update that holders of 10-year Chinese B visas must keep current, valid for two years or until a new passport.

Can an operator pick up at LAX?

Charter operators there need the Transportation Charter Party permit under the airport's ground transportation program.
